Privacy Policy

Last updated

24 October 2026

This Privacy Policy explains how Prognesoft Solutions (“Prognesoft”, “we”, “us” or “our”) handles personal data when you visit this website, use our project estimator, or contact us about our services.

Prognesoft Solutions (registered as PROGNESOFT, Udyam Registration No. UDYAM-TN-03-0329374) is based at 2/207 C Krishna Colony, Nadu Palayam, Peedampalli, Coimbatore 641016, Tamil Nadu, India. We handle personal data in line with applicable law, including India’s Digital Personal Data Protection Act, 2023 (the “DPDP Act”).

1. Who is responsible for your data

Prognesoft Solutions is responsible for the personal data described in this policy. You can reach us at prognesoftsolutions@gmail.com or +91 8637464986.

2. Information we collect

Information you give us

When you contact us, you may share:

  • your name and email address;
  • your company name, phone number or other contact details;
  • details about your project, such as goals, timeline, budget and requirements;
  • any other information you choose to include in your message.

When you press send, our contact form and project estimator deliver your message to our inbox through Web3Forms, a form delivery service that processes it only to pass it on to us.

If you send an enquiry from our Get Started page after following an ad or a shared link, the form also includes the campaign tags in that link (such as utm_source, utm_campaign, gclid or fbclid) and the currency the page showed you. We use them only to reply to you and to see which of our campaigns bring enquiries.

If you book a call through our booking page, Google Calendar handles the booking. Your name, email address and any answers to the booking questions go to Google, and we receive them with the meeting invitation and a Google Meet link. Google’s own privacy policy applies to its booking page.

If you message us on WhatsApp, your phone number and messages are handled by WhatsApp (Meta) under its own privacy policy, and we see them in our WhatsApp account. Using WhatsApp is optional; you can always email or call us instead.

  • Session storage: the first name you enter in a form, so the thank-you page can greet you. It is cleared when you close the browser tab.
  • Local storage: your cookie choice (for example “Necessary only”), so we do not ask again on every visit; and your currency choice with a copy of current exchange rates, so amounts appear in your currency.
    • Session storage: the first name you enter in a form, so the thank-you page can greet you. It is cleared when you close the browser tab.
    • Local storage: your cookie choice (pg-consent, kept for 12 months), so we do not ask again on every visit; and your currency choice with a copy of current exchange rates (pg-currency, pg-rates), so amounts appear in your currency.

    Information collected automatically

    This website’s fonts and images are served from our own site. Our hosting provider records technical data such as your IP address and browser details in server logs, to deliver and protect the site. To show amounts in your currency, your browser may fetch current exchange rates from ExchangeRate-API (open.er-api.com), which receives similar technical data.

    We use Google Analytics 4 to understand how visitors use the site, for example which pages are viewed, how long visits last, the type of device and an approximate location derived from your IP address. Google Analytics runs only if you click “Accept” in the cookie banner: until then no Google script loads and no analytics cookies are set. It stores a random identifier in cookies (_ga and _ga_<ID>, for up to 2 years) and also records when you click to book a call, message us on WhatsApp, call, email or send a form. Google signals and advertising features are switched off, and the data is kept for 14 months. Google processes this data, including in the United States, under its own terms.

    3. How we use your information

    We use personal data to:

    • reply to your enquiry and discuss your project;
    • prepare estimates, proposals and quotes;
    • deliver and support the services you engage us for;
    • keep business records and meet legal, tax and accounting obligations;
    • improve this website and understand how it is used, where analytics is enabled;
    • protect our website, our business and our clients from fraud or misuse.

    We rely on your consent for analytics, which you can withdraw at any time through “Cookie settings”, and on our legitimate uses permitted by law to reply to enquiries and to run and protect our business.

    4. Sharing your information

    We do not sell your personal data. We share it only when needed with:

    • service providers that help us operate, such as email, calendar and video-call, hosting, form delivery and analytics providers;
    • professional advisers, such as accountants and lawyers;
    • authorities, where the law requires it.

    Some providers, such as Google, store or process data outside India, including in the United States. Where this happens, we rely on their standard safeguards and take reasonable steps to ensure your data stays protected.

    5. How long we keep it

    We keep enquiry emails and project information for as long as needed to respond, deliver our services and maintain business records, and then for any period the law requires. When data is no longer needed, we delete it or make it anonymous.

    6. Security

    We use reasonable technical and organisational measures to protect personal data. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

    7. Your rights

    Under the DPDP Act, you can:

    • ask for a summary of the personal data we hold about you and how we use it;
    • ask us to correct, complete, update or erase your personal data;
    • withdraw consent you have given;
    • nominate another person to exercise your rights if you are unable to;
    • raise a grievance with us and, if it is not resolved, with the Data Protection Board of India.

    If you are in the United Kingdom, the European Union or another region with data protection laws, you may have similar rights, such as access, correction, deletion, restriction, objection and data portability, and the right to complain to your local data protection authority.

    To exercise any right, email prognesoftsolutions@gmail.com. We may need to confirm your identity before acting on a request.

    8. Cookies

    We use essential browser storage to remember your cookie choice, your currency and your first name for the thank-you page; these do not need consent. Google Analytics cookies are set only if you accept analytics. You can change your choice at any time through “Cookie settings” in the footer: if you reject analytics after accepting it, collection stops and the analytics cookies are deleted. You can also clear cookies and site data in your browser settings.

    9. Children

    This website and our services are intended for businesses and adults. We do not knowingly collect personal data from children. If you believe a child has sent us personal data, please contact us and we will delete it.

    10. Links to other websites

    This website may link to other websites. We are not responsible for their content or privacy practices, so please read their policies.

    11. Changes to this policy

    We may update this policy from time to time. The “Last updated” date shows when it last changed. Significant changes will be highlighted on this page.

    12. Contact and grievances
